Minutes of the Waterloo Deanery Council Meeting

Life events in our Deanery family:

 

Rev. Rob Towler was elected Prolocutor of Provincial Synod, held recently in Cochrane.

David Embury was confirmed as Huron’s lay representative on the Provincial Synod executive for another 3-year term.

Rev. Dana Rodgers has retired from St. Columba. Rev. Herb Horsey and Rev. Mario Hyrniewicz are sharing ministry there in the interim.

St. David’s has been closed and Bishop Terry Dance conducted the service of deconsecration on Oct. 22.  The offering at the service totalled $330 and it was marked for the Diocese’s outreach work in Africa.

The following individuals from our Deanery were awarded the Bishops’ Award for Excellence in Ministry at the service held in St. Paul’s Cathedral on Sun. Nov. 1: Austin Browne – St. Andrew’s Memorial; George Lee – Trinity; John Shilling – Holy Saviour; June Snider – St. Columba; Marion Wilkes – St. John; and, Douglas Woodley – St. John the Evangelist.

This year marks the 20th anniversary of St. James, Hespeler (in their present location).

This year also marks the 50th anniversary of All Saints, Waterloo.

 

Acceptance of the Agenda and minutes of the previous meeting:

 

It was moved by Rev. Don Davidson and seconded by Rev. George Ferris that the agenda as published be accepted.  CARRIED

It was moved by Rev. Dr. Don Davidson and seconded by the Rev. France Ouimet-Wilson that the minutes of the last meeting be accepted as published. CARRIED

Financial Matters:

 

Current Financial Statement: The treasurer published a statement as of Nov. 2 showing a usable balance of around $3,800.

 

2010 Deanery Budget: It was moved by the Paul Knowles and seconded by Rev. Jesse Dymond that the Deanery’s 2010 budget be set at $2,500. CARRIED. A spreadsheet was passed out to a representative of each parish showing their apportioned share.

 

2010 Regional Funding

 

In light of the request from the Diocese that we restrict our spending for 2010 to at most ½ of our allocation, it was moved by Rev. George Ferris and seconded by Rev. Don Davidson that we donate $5,000 to St. Monica House and $1,000 to RIM and return the rest (approx. $6,500).  CARRIED. It was further moved by Rev. George Ferris and seconded by Rev. Don Davidson that we contribute an additional $1,000 to RIM out of our Deanery Funds.  CARRIED.

 

The 2009 Diocesan Budget Presentation: Jeff Boyce – Chair of the Budget Sub-committee

 

The Diocese put the budget presentation on DVD. Soft copies of the draft line item budget were emailed along with the agenda and any parish may requests a copy of the DVD from the Synod Office. Following the presentation, Jeff asked for questions but there were none.

From Marilyn Malton:

 

1. Renison Institute of Ministry Calendar for the winter term:

International Learning Resources: Mexico and Canada - Two Realities. Includes sessions in Canada (January and March 2010) and 10 days in Mexico (February 12-21, 2010) learning about rural, urban, and first nations social, environmental, and justice issues. Cost: approximately $2200, all inclusive.

 

2. VIVA - Values, Identity, Vision and Action:


- the coaching team continues to meet and train together with Bp Ed Leidel
- Bp Ed will be finished his contract soon and transitional plans are well underway
- in addition to responding to requests from congregations, VIVA coaches have also led a VIVA session with members of the Diocesan Executive Staff in September; have led the first two of four VIVA sessions with Diocesan =Council; and will lead VIVA sessions with the Archdeacons in January. All of this is done on a voluntary basis.

PWRDF – Joe Mighty of St. John the Evangelist, Kitchener updated us on programs and items for sale in celebration of the 50th anniversary of this organization. 

Rev. Don Davidson reported on the effort to bring a refugee family to our area. There is a mother and her three daughters who were originally from Myanmar, part of the Chin minority. They have been in a refugee camp in India for a number of years.  Gail Cuthbert-Brant is chair of the steering committee for this effort.  11 of our 14 parishes are involved and the money to set them up is largely in hand.  

 

Boken Report follow-up - Bishop Bob has asked all of the territorial Archdeacons to form an Archdeaconry Commission to respond to the Report's recommendations in their respective areas. Archdeacon Peter asked for an additional 6 local Anglicans to sit on his commission - 2 from each of Waterloo, Kitchener and Cambridge. So far, we have the following volunteers: Wilf Clegg, St. John’s Preston; Janet Graham, Christ Church Ayr, Rev. Ross Gill, Holy Trinity Kitchener; Mike Banham, All Saints Waterloo and possibly Joyce Jones, St. Columba’s Waterloo. He further requested that each parish send their written response to him by Dec. 7th in hopes that the committee can coordinate a deanery response for presentation to the next Deanery Council meeting and hence to the Bishop by April 15, 2010. 

 

Events - past:

 

Deanery Confirmation: Bishop Terry was the officiant at the service held at St. George’s, Forest Hill on Thursday November 12th.

Diocesan Music Initiative – the event scheduled for Nov. 21st at St. James, Hespeler had to be cancelled when registrations came up short of the minimum required. 

Rev. Grace Shafer was ordained priest and Rev. Eileen Scully deacon at a consecration service held in the Cathedral on Nov. 30th.

Holy Trinity Kitchener threw a surprise party Julia & Ross Gill, in celebration of their tenth anniversary in the parish on Saturday November 28 at St. Matthews Lutheran Church Hall.   The event featured a dinner with special guest Bishop Bob (who also the celebrant in the service next morning).

A Dickens’ Christmas returned to St. George’s, New Hamburg on Sunday Dec. 13th

 

Tentative Dates and Places for future meetings:

 

Next Deanery Council meeting (election night) will be held on Tuesday February 2nd, 2010 at 7:00 pm at a Waterloo church to be named later.

The executive meeting will be held on Tuesday January 19th at St. Andrew’s Memorial, Kitchener.

Rev. Julia Gill has been appointed part time at St. Columba’s Waterloo effective Feb. 1.

Rev. Ross Gill has been appointed full time at Holy Trinity Kitchener effective Feb. 1

Rev. Greg Jenkins has been appointed Rector of Trinity Cambridge effective Feb. 15

Grace Schaefer was ordained a priest and appointed an associate at St. John the Evangelist, Kitchener

Eileen Scully was ordained a deacon and continues her ministry at Holy Saviour, Waterloo

Meghan Nicholls, formerly a parishioner of Holy Saviour was ordained a priest and has been appointed to a multi-point parish in the Diocese.

David Sapelak has resigned his position as Music Director at St. George’s New Hamburg

Rev. Harry Janke was named a Senior Honourary Fellow of Renison College at their 50th anniversary convocation.

Marion Wilkes, secretary at St. John’s Cambridge for more than 30 years recently passed away.

Proposed Term Limit: It will be moved by Rev. Julia Gill and seconded by Dave Embury that all elective positions be yearly renewable to a maximum of 5 years in any office. 

 

Note: Following each group of nominations set out below, the chair will ask for further nominations from the floor once, twice and three times.  If no further nominations are forthcoming, the people named will be acclaimed to the positions.

Deanery Youth Representatives to Synod - Each parish may submit the name of up to two youth members (aged 19 or less) at their Vestry.  Three names are to be drawn: the first two will be our youth delegates to Synod and the third will be our alternate. Please note that parishes may send as many youth observers to Synod as they like but they will then be responsible for their expenses.

 

Deanery Registrar for Diocesan Synod(s) – Wilf Clegg will continue as our registrar for 2010.

Budget Subcommittee – Dave Embury will continue as our representative for 2010.

Boken report follow-up – the Archdeacon will update us on the work of the Archdeaconry Commission in this area.

 

Magnetic Church follow-up – Rev. Ross Gill will speak to us on the possibility of another deanery workshop on evangelism or fresh expressions of ministry.

 

Financial Matters:

 

The treasurer will speak to the 2009 Financial Statement (a limited number of hard copies will be available at the meeting).

 

Regional funding – the treasurer will contact the Diocese to obtain the funds.   

 

The 2010 Deanery Apportionment statements for each parish were handed out last fall and another copy was emailed out with this agenda. If your parish has not already done so, please remit your deanery apportionment as soon as possible to the treasurer at St. James’ Anglican Church, Box 21053, 520 Ellis Rd., Cambridge, Ont. N3C 4B1.  If you have mysteriously lost your statement, the treasurer will give you another copy.

Rev. Don Davidson will update us about our refugee family.

 

Marilyn Malton will speak to us about current offerings at RIM and her work with the VIVA process.

 

PWRDF and the Haiti crisis – it will be moved by Rev. George Ferris and seconded by Paul Knowles that $1,000 of our deanery funds be donated for Haiti (and hopefully matched by the Canadian tax payers).

Dates for future meetings:

 

The Diocesan Synod will be May 16th – 18th . The Deanery Council meeting to discuss published motions going to Synod will be held on Tuesday May 4th  at 7:30 pm at a St. James’, Cambridge. Note that the last day for the Diocesan Office to receive motions is Feb. 28.  The mail out date for the Synod convening circular is the end of March.

 

The next Deanery Council Executive meeting will be held at 4:00 pm on Tuesday April 20th  at St. Andrew’s, Kitchener.
